This role:

We have a dedicated team, based in London and New York, who manage our licensing accounts to enable clients to deliver Mind Gym in-house. The licensing team, who sit within our Client Services department, are responsible for order management, scheduling, Certifications, upskills, licensed coach support, advising clients, and so much more.

As a Licensing Administrator, you will be pivotal in ensuring the flawless execution of the internal processes that enable us to provide best in class service to our clients throughout their Mind Gym experience. You’ll act as the key touch point across the US Licensing Team for booking management, delivery coordination, networking with our global coaches, and helping to continually improve our ways of working.

You’ll work out of our NYC Headquarters and will directly support the Licensing Associate and Licensing Project Manager across a diverse array of projects, with great opportunities to delve into exciting initiatives to truly make an impact.

On a typical day, you can expect to do the following:


  • Licensing Associate and Licensing Project Manager with coordination of US-based projects
  • Master Certification Coaches and Client Licensed Coaches in their delivery preparation


  • Booking entry and management
  • Client hospitality for site visits
  • Process and report on feedback for coaches and clients
  • Data entry and cleansing


  • Process efficiency
  • Communications with internal and external stakeholders


What you will need:


  • Previous administrative experience in a fast-paced environment
  • Having exceptional organisation, multi-tasking and prioritization skills
  • Excellent communicator who enjoys building relationships
  • Proactive and positive attitude to your daily tasks
  • Happy to work individually and as part of a team
  • Flawless attention to detail and a strong aptitude for managing multiple work-streams
